Tidy bookings and memberships for businesses in Yogyakarta, in busy and quiet seasons alike

Remote work

To be upfront: Bengawan Tech does not have an office in Yogyakarta. We do all of our work remotely, and you can follow its progress from your phone.

Many businesses in Yogyakarta live on visitors and students: homestays and guesthouses, cafés, vehicle rentals, course providers, studios, and creative communities. Demand comes in waves — school holidays, long weekends, graduation season, and the start of each semester — and then eases off again.

Problems we often hear about

This pattern is typical of businesses that depend on the seasons and on visitors who come and go.

  • Swamped in peak season, quiet afterwards

Ahead of school holidays and long weekends, demand jumps and every staff member is busy answering messages. Once the season passes, details of the guests who came are not kept for inviting them back.

  • Room bookings arrive through many doors

Guests book via WhatsApp, social media messages, booking platforms, or simply walk in. Without a single calendar, the same room can be promised to different guests for the same night.

  • Class and community members tracked by hand

Lists of course participants, studio members, or community members sit in spreadsheets and group chats. Whose membership has lapsed and who rarely shows up only becomes clear much later.

  • Rental items without a condition history

Motorbikes, cameras, or event equipment go in and out every day. When a scratch or a missing part turns up, it is hard to trace the last renter and the condition the item was handed over in.

What we can build

The focus is on schedules and availability: who booked what, for when, and whether anything is still free.

  • A single booking calendar

Bookings from every channel land in one calendar. Rooms, tables, or classes that are full close automatically to the next person trying to book.

  • A bilingual booking page

Domestic and international guests pick dates and send a booking themselves in Indonesian or English, then receive confirmation on WhatsApp.

  • Member cards and class attendance

Members show a QR code when they arrive, attendance is logged automatically, and a reminder goes out as their membership nears its end.

  • Rental records per unit

Every motorbike, camera, or piece of equipment has a status: available, rented out, or being repaired. Condition photos are taken at handover and again on return.

  • Shift schedules for part-time staff

Part-time staff, often university students, see their shifts and tasks on their own phones, and a replacement is easy to find when someone can't make it.

How we work remotely

We have no office in Yogyakarta; our team works remotely. That's why we deliberately avoid your busiest weeks — conversations and demos are set outside the holiday season whenever possible, so your service to guests isn't disrupted.

  1. An online first conversation

The first conversation happens over a video call or voice notes. Show us how bookings are recorded today — a screenshot of your calendar, guest spreadsheet, or member list already helps a lot.

  2. Building in stages

The app is built piece by piece, starting with whatever most often causes schedule clashes; memberships or rentals follow after that.

  3. Regular demos

Each time a part is finished, we show it in an online demo and give you trial access. Front-desk staff can try entering real guest bookings straight away.

Questions people often ask

We're only really busy during the holiday season. Is the app still useful the rest of the time?

Yes. In quiet periods, the guest and member details you've kept can be used to greet past customers, get ready for the next season, and sort out schedules without rushing.

Many of our guests come from abroad. Can the booking page be in English?

Yes. The booking page and confirmation messages can be prepared in both Indonesian and English, and you check all of the wording before it goes live.

We're a small creative community, not a company. Can you still help?

Yes. A community's needs are often simple, such as event sign-ups or a tidy member list. We'll suggest the smallest version that is already useful.
